POSITION SUMMARY:
- Manage and oversee the day-to-day operations of our facilities across Ireland, UK and The Nordics. (Cherrywood, Leatherhead, PetMedix, ‘The Nordics’ commercial offices.
- Develop and implement strategies and procedures (SOP) to optimize facility efficiency and effectiveness to strive for max customer experience.
- Coordinate maintenance, repairs, and renovations to ensure facilities are well-maintained and operational at all times as well as coordination of all soft facilities like EHS, reception, cleaning etc.
- Oversee facility budgeting, expense tracking, and cost control measures for the offices of the countries in scope.
POSITION RESPONSIBILITIES :
- Manage and oversee the day-to-day operations of our facilities across Ireland, UK and The Nordics including Facility projects like fitout works, including driving of development of preliminary design concepts, tendering, negotiating, contracting, coordinating, follow-up of construction and refurbishment works, (de)commissioning of assets as well as POC for external suppliers of soft and hard facilities, …
- Manage, develop and implement strategies to optimize facility efficiency and effectiveness as well as ensure compliance with safety regulations and standards at all facilities Driving, maintaining and creating of SOP’s and work instructions for day to day tasks of contractors, including back up plans for cleaning, reception, preventive maintenance. Keeping track with established metrics for Cost Follow up on projects (CFU), Quarterly Budget spend for each market (YOL), sustainability, EHS and SSO.
- Drive and coordinate maintenance, repairs, and renovations in line with facility maintenance schedule to ensure facilities are well-maintained and operational at all times as well as coordination of all soft facilities like EHS, reception, cleaning etc.
ORGANIZATIONAL RELATIONSHIPS :
As part of Global Operations this position will have interactions with on-site key positions like GM’s, HR, ZTD, Finance,Global Security as well as external interactions with vendors of soft and hard facility related services. (EHS, Cleaning company, Catering, HVAC maintenance, …)
EDUCATION AND EXPERIENCE :
- Bachelor/master in interior design, architecture or Engineering (Electricity, Mechanics, HVAC,…)
- Minimum of 7 years experience in a similar position in an international context
- Proficient with MS tools
- Knowledge of facilities maintenance systems a plus
- Time management skills and the ability to manage multiple conflicting priorities
- Knowledge of Occupational Health and Safety (or being certified as Advisor) is a must
- Knowledge of security systems is a plus (Lonel, S2,…)
- Knowledge and understanding of Real Estate market (Cornell or others) is a plus
TECHNICAL SKILLS REQUIREMENTS :
- Knowledge of Auto-Cad being able to work with DWG files (2 and 3D) is an asset
- Technical background to read and understand technical (construction) drawings (Mechanical, Electrical, Plumbing)
- Background with HVAC and AV systems is a must
- Ability to travel in EMEA up to 10% of the time.
- For projects or maintenance works occasionally weekend work can occur.
